WestFax Review 2026: Pricing, Compliance & Alternatives

Author: documo
Published: December 19, 2024

WestFax is a HIPAA-compliant cloud fax provider starting at $14.95/month for 500 pages, with a signed Business Associate Agreement on every plan and an unusually broad compliance portfolio — HITRUST, SOC 2 Type II, PCI DSS, PIPEDA, CJIS, GLBA, and FERPA. For organisations that need certified secure fax transmission at a low price, WestFax is one of the strongest options available and is cheaper than Documo at entry. Where it stops is document processing: WestFax moves documents securely but does not classify inbound faxes or extract structured data into an EHR. That is the dividing line, and for any healthcare organisation with an inbound document queue, Documo is the better choice20 pre-trained healthcare document types, named EHR integrations, and cloud fax inside a platform rather than beside one.

Is WestFax HIPAA compliant?

Yes, on every plan. WestFax states plainly: “Every plan is HIPAA compliant with a signed BAA.” That includes the $14.95 Solo tier — there is no compliance upcharge and no gated tier.

All plans include encryption in transit and at rest, multi-factor authentication, and audit logging. Beyond HIPAA, WestFax holds HITRUST, SOC 2 Type II, PCI DSS, PIPEDA, CJIS, GLBA, and FERPA.

That is a broader published compliance portfolio than Documo’s. Documo holds SOC 2 Type II, HIPAA, and PIPEDA, with HITRUST e1 in progress. If your procurement requires HITRUST certification today, or you need CJIS for criminal justice data, GLBA for financial data, or FERPA for education records, WestFax meets those and Documo does not currently publish them.

Where WestFax may still fit

Three things, stated once and specifically:

  • Transmission-only pricing. $14.95 for 500 pages is priced below Documo’s entry tier. For compliant fax transmission with no document processing requirement, it is the cheaper line item.
  • Compliance breadth. WestFax publishes HITRUST certification plus CJIS, GLBA, and FERPA. If you are a public agency, a financial institution, or an educational institution, those frameworks matter and Documo does not currently publish them.
  • Earlier API access. REST with webhooks starts at $39.95 on Team, against $100 for Documo’s Business plan.

One gap worth noting in the other direction: WestFax does not publish encryption detail. Documo states AES-256 at rest validated to NIST FIPS 140-2 and TLS 1.2 minimum in transit; WestFax describes encryption in transit and at rest without naming standards or key lengths — which matters in a security review asking for specifics.

Why Documo is the better choice for healthcare document workflows

One thing, and it is the only one that should decide this comparison.

WestFax delivers the document. Documo processes it.

WestFax’s job ends when the fax arrives securely and the audit log records it. It does that job well and inexpensively. What it does not do is read the document.

Documo’s intelligent document processing Standard Model is pre-trained on 20 healthcare document types — referral forms, prior authorization requests, lab results, insurance cards, EOBs, discharge reports, operative reports, release of information, patient intake and more. It combines OCR with AI models including LLMs to classify each document, extract patient identifiers such as name, date of birth, and ZIP to match against the correct record, generate searchable PDFs, and route structured data into a system of record. Human review is supported, and custom classification models and extraction fields are available. That capability is part of Documo’s Custom Platform rather than the standard cloud fax plans, so it is a platform decision rather than a $25 feature.

Alongside it: direct integrations with Open EMR, ModMed, NextGen Enterprise, and PointClickCare, a fax API with a sandbox and code samples in cURL, Ruby, Python, PHP, and Node.js, eSignatures collected on faxed documents, and a Fax Machine Connector that keeps existing machines running with no new hardware or phone lines. WestFax publishes none of these.

Which should you choose?

The question is not which platform is better. It is what your actual problem is.

If the problem is “we need compliant fax transmission and nothing else” — a transmission-only provider is the cheaper line item, and WestFax is one of the best of them.

If the problem is “documents arrive and staff spend hours keying them into the EHR” — no fax service solves that, WestFax included. That is a document processing problem, and it is the one Documo is built for. Worth knowing: 88% of hospital administrators say fax delays impact patient care, yet only 29% have automated fax. The gap is not in transmission — it is in everything that happens after. The ROI calculator sizes it against your own volume.

For most healthcare organisations, the second problem is the expensive one, and it is the one that keeps growing with volume while the transmission line item stays flat.

How do I switch from WestFax to Documo?

Port your number so senders do not have to change anything — typically 2–4 weeks depending on the losing carrier, with both numbers live in parallel through cutover. The BAA is executed at signup.

Price the comparison at the capability you actually need. A transmission-only plan and a platform with document classification, EHR integrations, and eSignatures are different purchases, and comparing headline page allowances across them understates both. Frequently asked questions

Is WestFax HIPAA compliant?

Yes, on every plan. WestFax states that every plan is HIPAA compliant with a signed Business Associate Agreement, including the $14.95 Solo tier, with encryption in transit and at rest, multi-factor authentication, and audit logging.

How much does WestFax cost?

As of August 2026: Solo $14.95/month for 500 pages with 3¢ overage; Team from $39.95/month for 1,500–3,000 pages at 2.5–3¢; Enterprise is custom with bulk rates.

What certifications does WestFax hold?

WestFax lists HITRUST, SOC 2 Type II, PCI DSS, PIPEDA, CJIS, GLBA, and FERPA alongside HIPAA compliance.

Is WestFax cheaper than Documo?

At entry, yes — $14.95 for 500 pages against $25 for 300. For compliant fax transmission alone, WestFax is the more economical choice.

Does WestFax have an API?

Yes, a REST API with webhooks, included on Team and Enterprise plans. Solo does not include API access.

Is WestFax HITRUST certified?

Yes. Documo’s HITRUST e1 certification is in progress.

Does WestFax extract data from faxed documents?

No. WestFax provides secure transmission with audit logging. It does not publish document classification or structured data extraction. Documo’s Standard Model classifies 20 healthcare document types and extracts patient identifiers to route documents into a system of record, on its Custom Platform.

What is the difference between WestFax and Documo?

Both are HIPAA-compliant cloud fax providers with a BAA on every plan. WestFax is cheaper and holds more compliance certifications. Documo adds intelligent document processing — classifying inbound documents across 20 healthcare document types and extracting structured data into systems like an EHR — plus named EHR integrations with Open EMR, ModMed, NextGen Enterprise, and PointClickCare, fax eSignatures, and a Fax Machine Connector.

What is the best WestFax alternative for healthcare?

Documo, if inbound faxes create manual data entry. It matches WestFax on a BAA for every plan, adds document classification and extraction across 20 healthcare document types, and integrates directly with Open EMR, ModMed, NextGen Enterprise, and PointClickCare. If you need certified transmission at the lowest price, or require HITRUST, CJIS, GLBA, or FERPA today, WestFax is the stronger fit.

Can I keep my fax number if I switch from WestFax?

Yes. Fax numbers port between providers, typically in 2–4 weeks, with both numbers live in parallel during the transition.

Bottom line

Choose Documo if the documents arriving by fax create manual work downstream, if you run Open EMR, ModMed, NextGen Enterprise, or PointClickCare, or if you need eSignatures collected on faxed documents. It is the only platform in this comparison that classifies inbound documents by type and puts the extracted data on the right patient record — and that is the cost that scales with your volume, not the per-page rate.

Choose WestFax if you need certified, compliant fax transmission at the lowest price, if you require HITRUST today, or if you need CJIS, GLBA, or FERPA coverage. It is cheaper than Documo and holds more certifications.
